June Trainer Newsletter: Time Is Up for Application Changes!

The month of June kicks off the summer of Makeover deadlines. It is time to take action if you have been thinking of making any changes or additions to your entries.

June 30th is the last day to submit late trainer applications (including team members), add more horses to an entry, submit video to lift limited non-jumping restrictions, submit midyear check-in requirements, request trainer replacements, and make entry type changes. This newsletter will briefly cover how to complete all of these actions.

Late Trainer Applications

Those wishing to compete in this year’s Makeover still have time to apply! Late trainer applications are accepted through the Trainer Portal until 5pm EST on June 30th. The application must be submitted with all requirements (payment, videos, signed waiver, and vet letter) by the deadline in order to be considered. There is not a waitlist at this time and the committee will be considering late applications for standard acceptance as they are received. All applications submitted after the January deadline are subject to a $100 late application fee.

This application deadline applies to team member applications as well. If you are a team captain, it is important to remember that your team members must submit their own applications as well. Team captain entries that do not have complete team member applications associated with them by this deadline will be changed to individual entries. Team member applications without an associated team captain entry will be withdrawn.

Additional Horses

If you would like to compete more horses in this year’s Makeover than you originally applied to take, you must request and pay for your additional horse(s) before 5pm EST on June 30th. Email secretary@therrp.org to request an invoice for an additional horse registration fee ($150 per horse). Once the invoice is paid, your horse count will be increased and you will be able to register the additional horse.

Entry Type Changes

Whether you would like to change from an individual entry to team captain (or vice versa) or add/remove/swap team members, the deadline to request such changes is 5pm EST on June 30th. Our ability to accommodate changes after this deadline is limited. If we are able to accommodate changes, they will be subject to a late fee of up to $100 per change.

Trainer Replacements

In situations where an approved trainer has a horse registered in the Thoroughbred Makeover, and that trainer becomes unable to participate due to extraordinary personal circumstances outside their control, the trainer can seek permission from the RRP to nominate a replacement trainer to take over the horse’s training and compete in the event. Trainer replacements are not accepted after 5pm EST on June 30th, 2023. The nominated replacement trainer must submit a Thoroughbred Makeover Trainer Application through the Trainer Portal. The application and horse registration fees will be waived as the original payment will transfer with the entry and the original trainer is withdrawn from competition once the replacement trainer is accepted.

In order to complete the process, the following must be done before the June 30th deadline:

  • Original trainer must have already registered the horse
  • Original trainer must email secretary@therrp.org to request the trainer replacement
  • Nominated trainer must submit their application with all requirements (except for payment)
Midyear Check-ins

If your application was accepted with a midyear check-in requirement, you must submit your midyear check-in materials to secretary@therrp.org by 5pm EST on June 30th. Trainers that were given a midyear check-in and fail to submit their requirements by the deadline will be withdrawn from the event. If the midyear check-in requirement includes videos, upload the videos to a platform such as YouTube and email the links with a short description (where and when the video was taken/what the pair is working on in the video) to the secretary. Video files will not be accepted.

Midyear check-in requirements were included in acceptance letters. Refer to your acceptance email if you are unsure if you were given a midyear check-in. Email secretary@therrp.org if you cannot locate your original acceptance email.

Lifting Jumping Restrictions

If you were accepted with a limited non-jumping restriction, and hope to compete in a jumping discipline (Field Hunters, Eventing, Show Hunters, or Show Jumpers) at the Makeover, you must submit your updated jumping video to secretary@therrp.org by 5pm EST on June 30th. This video must show you jumping a full course of fences (8 fence minimum) that are all 2’6” or higher. Upload the video to a platform such as YouTube and email the link with a short description (where and when the video was taken/what the pair is working on in the video) to the secretary. Video files will not be accepted.

Limited non-jumping restriction notices were included in acceptance letters. Refer to your acceptance email if you are unsure if you were given a jumping restriction. Email secretary@therrp.org if you cannot locate your original acceptance email.
